1. CONTROLLER OF THE REGISTER
Tallink Silja Oy (”Tallink Silja”)

Club One loyalty programme membership

4. THE PURPOSE OF PROCESSING PERSONAL DATA

The register is used for the management of the Club One customer loyalty programme, registration and the management of points, customer communication and marketing. Tallink Silja uses external mailing services for marketing and customer communication. The registered information is also used for reservations and invoicing.

A customer joining the Club One programme consents to their purchases being registered. The Club One programme and membership are based on using Tallink Silja services.  A Club One member collects bonus points and level points, which are earned through onboard and ticket purchases.  Onboard purchases are registered to the customer at the points of sale.

5. INFORMATION KEPT IN THE REGISTER

5.1 Member's basic information:
Membership registration date, last name, first name, nationality, street address, post code, town, date of birth, sex, home and work telephone numbers, mobile phone number, email address, the names of children (if applicable) and their dates of birth and sex, and the preferred language of marketing mail.

Last name, first name, nationality, sex, age, email address, mobile phone number and the work telephone number of affiliate cardholders.


5.2 Hobbies entered by the member
- Fishing
- Golf
- Downhill skiing
- Theatre/musicals
- Concerts/Opera/Ballet
- Dancing
- Food and wine
- Health and spa holidays
and the level of household income.

5.3 Card and card level information:
Customer number, date of issue and expiry of the latest card, card level, card type (basic, travel agent, shareholder, truck driver, staff), accrued level points and number of trips during card's validity period.

5.4 Information on the accrual and usage of bonus points:
All points gained and used during the card's validity period, points available for use.

5.5 Trip-specific information
Information concerning the use of Club One card: Travel bookings and onboard purchases made with the card, including transaction location, euro amount, date and time.  Registered trip-specific information consists of the ship, its route, whether it is a one way trip or a round trip, cabin category, number of passengers, currency, and the date of booking.  Also, details of the reservation centre through which the trip was booked will be registered.

5.6 Consents and refusals defined by the customer:
declining direct marketing and telemarketing, of corporate partners' marketing, and consent to SMS and email marketing.

5.7 Memberships cancelled by Tallink Silja
After cancelling, the customer's data is retained in the register for identification purposes over a reasonable, individually defined period of time.

6. SOURCES OF DATA

Basic customer information, hobbies, consents and refusals are given by members when filling in the membership form or when later updating their information.  Address details are updated with the help of Postal Address Services.

Club One card usage information is received from the Tallink Silja booking and cash register system.  Information on bonus points and levels is accessed from the Tallink Silja data processing system.

7. DISCLOSING INFORMATION FOR MARKETING PURPOSES

No information will be disclosed to external parties from the register, except to authorities on a legal basis.

8. MEMBER'S RIGHTS

Members have the right to be informed of their personal details being stored in the Club One register.  The details can be inspected free of charge once per calendar year.  The request to inspect the details must be sent, signed and in writing, to the address of the person named in section 10.  Upon an inspection request, the details are disclosed in writing and delivered by mail to the registered address of the person concerned.

Club One members are entitled to rectify faulty personal details in the register.  A written request to rectify details is to be made to the stated address.

9. REGISTER PROTECTION

9.1 Manual data:
Application forms and other manually handled documents comprising personal details will be properly destroyed after processing.

9.2. Computer stored data
Only prescribed Tallink Silja staffs have access to the Club One application.  The database has various user levels, and maintenance or browsing access to the information is granted only for necessary operations.  Every user has a personal user ID and password which are entered at login.  The system is protected by firewall against anyone connecting to the system from outside Tallink Silja.
